You ask AI to improve an internal handoff note. It returns smoother sentences, a stronger opening, and a new instruction nobody asked for. The original problem may be fixed, but now you have to review the whole document again.
For insurers, brokers, and MGAs, that can turn a small editing task into another round of checking. A more useful approach is to give AI a specific revision assignment: identify what is wrong, define what a successful correction would do, and state what should remain untouched.
This works for internal summaries, training notes, procedure explanations, and other drafts that already contain useful material. The aim is to improve a defined passage without accidentally changing the substance around it.
Describe the problem the reader will encounter
Feedback such as “make this clearer” leaves the model to decide what clarity means. It might shorten the wording, add examples, rearrange sections, or introduce an explanation that sounds plausible but is unsupported.
Start with the practical problem. Does the reader need an action but receive only background? Does the passage combine two steps that happen at different points? Does a heading imply approval when the body describes a proposal?
Point to the specific paragraph or sentence. For example: “In the second paragraph, the reader cannot tell whether the request is ready for handoff or still waiting for information.” That tells the model where to focus and why a change is needed.
If you cannot identify the problem yet, ask AI to describe possible sources of confusion without rewriting. Review that diagnosis before authorizing edits. A model’s interpretation may help you articulate the issue, but it is not evidence of what your process requires.
Define a result you can check
Once you name the problem, explain what the replacement needs to accomplish. “Separate the current status from the next action” is easier to assess than “make it more professional.”
For a short internal note, your standard might be that the opening sentence states the confirmed status, the next sentence identifies the documented action, and unresolved information remains explicitly unresolved. Those requirements can be checked against the result.
Use a length constraint only when it serves the task. If you need a short field entry, provide the limit. If the required qualification cannot fit, ask the model to flag the conflict rather than silently remove it.
Keep factual corrections separate from stylistic preferences. A missing condition matters more than whether a sentence starts with a particular word. Fix the meaning first, then consider tone or brevity if they still need attention.
Tell AI what is already correct
Revision instructions should identify the parts that do not need improvement. These may include document references, a confirmed date, an approved heading, or the language of a qualification.
Quote any wording that must remain exact. Explain whether the model may change only one paragraph or may also flag consequences elsewhere. For a narrow edit, requesting just the replacement passage can reduce the amount of newly generated text you need to examine.
Keep the original draft available. An instruction to preserve wording is not a guarantee that it will be preserved, and the model’s change summary may miss something. You need a version to compare against before accepting the revision.
Use an employer-approved AI environment and only material permitted there. A fictional draft is enough for an initial trial. Removing names from a real insurance file does not necessarily remove other identifying details.
A fictional handoff note example
Suppose a fictional internal note says, “The file has been reviewed and can move forward once the missing attachment is received.” The accompanying approved procedure says that the attachment must be received and checked before the handoff.
The issue is specific: the note omits the checking step. A general request to make it stronger might produce “The file is ready for immediate handoff,” which makes the meaning worse even though it sounds decisive.
A useful instruction would ask AI to revise only that sentence, preserve the outstanding status, and include both prerequisites supported by the procedure. It should not invent a deadline, assign a reviewer, or claim that the attachment has arrived.
A candidate revision could be: “The file is awaiting the missing attachment; handoff remains pending until the attachment is received and checked.” A person still needs to confirm that the procedure and current file status support that wording.
This is a fictional example of editing, not a general rule for handling insurance files. Your team’s actual approved instructions determine the content of the real note.
Request a small change record
Alongside the replacement, ask for a short explanation of what changed and why. Where the edit depends on supplied evidence, request a document and section reference that you can check.
Ask the model to flag effects outside the permitted edit area without rewriting them. A corrected opening sentence may now disagree with the closing paragraph. That is useful to know, but it should not trigger an unrequested revision of the entire document.
Treat the change record as a review aid. Compare the actual replacement with the original, confirm the source reference, and check that the fix did not strengthen uncertainty into certainty. Do not rely solely on a statement that everything else was preserved.
Stop when the problem needs a person
Some editing requests reveal a missing decision. The source may not say who owns the next step, which version applies, or whether an exception has been approved. More fluent wording cannot settle those questions.
Ask AI to stop and identify the missing fact. Obtain confirmation through your normal process, update the source material, and then resume the edit. Keep proposals labeled as proposals until the responsible person has made a decision.
The same applies when instructions conflict. “Keep this qualification exactly” and “remove all qualifications” cannot both be satisfied. The model should surface that conflict instead of choosing which direction to ignore.
Save the useful instruction, not just the revised sentence
When a revision works, save the pattern that made it useful. For example, a team might reuse instructions to separate status from action, preserve source qualifications, and return only the affected passage.
Remove account-specific details before turning an instruction into a reusable template. Keep it short enough that a colleague can understand what it controls and adapt it to the next task.
